Privacy Policy

UNOX Portal (operated by Hexagon Infotech Pty Ltd, 7 Morey Pl, Kings Langley NSW 2147, Australia) provides cloud-based examination and student management software to higher education institutions.

This Privacy Policy applies to information collected through our software platform, website, and any related services. By using the UNOX Portal platform, your institution agrees to the practices described in this policy.

We collect information necessary to operate the platform and fulfil our contractual obligations to your institution. This includes: student academic records (name, enrolment details, examination results), staff and administrator account information, system usage logs for security and audit purposes, and technical data such as device information and IP addresses during platform access.

We do not collect payment card information directly. Fee payments are processed through third-party payment gateways subject to their own privacy policies.

Information collected through the platform is used solely to: deliver the contracted software services to your institution, maintain platform security and prevent unauthorised access, generate the reports and analytics available within the platform, and comply with applicable legal and regulatory obligations.

We do not use student data for advertising purposes, nor do we sell or share personal data with third parties for their commercial benefit.

All data is stored on encrypted, cloud-hosted infrastructure. We apply SHA-2 encryption for data at rest and TLS 1.3 for data in transit. Access to production data is restricted to authorised personnel and governed by role-based access controls.

We maintain automated daily backups and support data residency configurations for institutions with local compliance requirements.

We retain institutional data for the duration of the contract and for a period following termination as agreed in the data processing agreement. Institutions may request deletion of their data in accordance with the terms of their agreement.

Anonymised, aggregated usage statistics may be retained beyond the contract period and are not considered personal data.

UNOX Portal uses a limited number of third-party infrastructure providers (including cloud hosting and payment processing services) to deliver the platform. These providers are bound by data processing agreements and may not use institutional data for any purpose other than delivering their contracted services.

We do not integrate third-party advertising, analytics, or social media tracking tools into the platform.

Institutions and individuals may request access to, correction of, or deletion of personal data held by UNOX Portal by contacting us at srinivas@unoxportal.com. We will respond to data subject requests within the timeframes required by applicable privacy legislation.

If you believe your privacy rights have been breached, you have the right to lodge a complaint with the relevant data protection authority in your jurisdiction.
